Job Description

  •  Payment status updates
    • Respond to vendor and subcontractor inquiries regarding invoice status
    • Review subcontractor/vendor hold codes with appropriate parties
    • Manage Held Check Log to ensure completion of items
  • Manage the collection of subcontractor and supplier lien waivers
    • Track appropriate lien waiver documentation from our subcontractor’s suppliers
  • Lien Notice Log
    • Manage Lien Notice Log to completion of items
    • Distribute lien notices to Sabre project managers
    • Communicate payment status with project teams (hold if necessary)
    • Monitor log on an ongoing basis
  • Unconditional Lien Notice Log
    • Distribute to Sabre project engineers, project managers, and owners if requested
  • Vendor compliance
    • Collect W-9s, Certificates of Insurance, and Master Subcontract Agreements
  • 1099 Paperwork
    • Verify that we have W-9s for all vendors except for corporations
    • Collect missing W-9s
    • Prepare, mail, and track 1099-Misc forms
    • File electronically to IRS with support from Viewpoint
  • Support Accounts Payable Coordinator, as needed
    • Enter vendor and subcontractor invoices in accounting software
    • Process customer payments
    • Process check runs
    • Review time sheets and post-production time to respective job cost phases
